Ensuring Centralized and Secure Print Management Through Managed Print Services
How an insurer optimized its printing, protected its data, and reduced its IT workload.
Combining security and efficiency: the challenge of document management for modern insurers
Managing 2000+ employees, 100+ printers a scattered work force, and legacy systems requires the right tools.
The Challenge:
One of Denmark’s largest insurers was facing increasing complexity in its printing environment. With thousands of employees using both mainframe applications and office systems. Printing operations were fragmented and difficult to manage.
Therefore they reached out to MPI Tech, who had for years been a trusted partner and provider of output managemnt solutions.
Pain points
- Sensitive customer data (financial information and medical records) required secure management in compliance with the GDPR.
- Mainframe systems needed to be integrated into modern pull printing workflows.
- The management and installation of printer drivers in a Citrix environment required considerable IT resources.
- Multiple vendors and points of contact complicated support and incident resolution.
- An aging and diverse printer fleet was causing inefficiencies and inconsistencies within the organization.
Proposed Solution:
The organization needed a future-proof solution capable of unifying print management, securing sensitive workflows, and simplifying day-to-day administration.
MPI Tech implemented a third-party Pull Printing solution based on its Mainframe Suite and Print SubSystem, which were already in use and proven by the customer. The project was deployed in two phases.
Roll-out
Phase 1 – secure mainframe output
- Integration of Host Printing and office applications into a centralized pull printing server.
- Using DocOut on zLinux to format mainframe output in PostScript and route it to the centralized system.
- Ensured all documents, regardless of source, were held securely until user authentication at an MFP.
Phase 2 – optimized printing infrastructure
- Introduction of a universal print driver and simplified user interface to enable printing on any device in the fleet.
- Reduced IT workload through vendor consolidation: MPI Tech became the first-level support point for software and servers, while hardware partners managed peripherals.
- Support in selecting and deploying new printers, ensuring coverage, efficiency, and simplicity thanks to the “Follow-Me” feature.
Proposed Solution:
With MPI Tech’s Managed Print Services, the customer now has a streamlined, secure, and reliable printing infrastructure:
- Security and compliance: pull printing ensures that documents are only released in the presence of the user, thereby protecting sensitive data.
- Efficiency gains: no more wasted print jobs. Print volumes dropped by an estimated 15%.
- IT resource optimization: processing offloaded to zLinux IFL, reducing the load on Citrix servers by 30%.
- Simplified support: a single point of contact for printing services, reducing the internal workload of the IT department.
- Enhanced user experience: a consistent, modern fleet, ensuring flexible and reliable printing from any location.
